1.2 This privacy policy sets out how Future Arts Centres uses and protects any information including:
  • using our website,
  • completing any forms (including those on the website),
  • management of member organisational data
  • any individual applying to work with us.
1.3 If we ask you to provide any information that could be used to identify you when using this website, it will only be used in accordance with this privacy statement.
 
1.4 All data will be current and relevant. Data is reviewed on a rolling basis in order to ensure that data that is no longer necessary is destroyed entirely and on a timely basis.
 
1.5 The wording of this policy incorporates guidance from the ICO (Information Commissioners Office). Our lawful basis for collecting information is in line with GDPR ‘Legitimate Interests’. We also follow PECR rules.

4. Your data when using our website
 
4.1 Google will process your anonymised data on our behalf, as the operator of Google Analytics. If there are any videos on a website page, the relevant streaming service (YouTube or Vimeo) may also use cookies.
 
4.2 We do not capture, track or retain any other information about you from general use of this website.
 
 
5. Completing forms
 
5.1 Any data you submit via this website (e.g. to sign up as a new member or to download a resource) will be captured via form. All forms are operated via SurveyMonkey. This data is held according to Survey Monkey’s data policies.
 
5.2 Data may then be exported from Survey Monkey and held on the Future Arts Centres systems on Sharepoint (via Microsoft) or Dropbox.
 
 
6. Membership data
 
6.1 We hold information about our current members in order to communicate effectively with all members.
 
6.2 Any previous members are removed and all data is deleted, except for an archive list of the organisation name and dates of membership.
 
6.3 The information held about our members includes:
  • Public information about the organisation including trading name, legal name, venue address, public contact number and website.
  • Information for our main contact (typically the CEO or equivalent for each organisation) including their name, job title and work email address.
  • Member registration, attendance and evaluation surveys for FAC programmes and events.
  • Results and data from other surveys which are relevant to the work of our member arts centres and completed by members on an optional basis.
  • Salary benchmarking data as submitted by members on an optional basis. This is published as anonymised aggregated data only.

 

7. Individuals applying for jobs
 
7.1 If you apply for a job or other role with Future Arts Centres, we will hold your application and any other data you choose to provide on our systems on Sharepoint and via Microsoft Outlook. After the successful candidate has been appointed, we will destroy all data within three years, unless agreed with you separately.
 
 
8. Third parties
 
8.1 Future Arts Centres has agreements with third parties (data processors) who may process personal data on our behalf in accordance with our instructions or as part of our business processes, to provide relevant services to you. These third parties are:   
 
  • Dropbox – Future Arts Centres’ archive internal system for storing files which may occasionally hold personal information e.g. event delegate lists.
  • Google – processes your anonymised data on behalf of Future Arts Centres as the operator of Google Analytics
  • Microsoft Outlook may process your personal data on behalf of Future Arts Centres as provider of our email services 
  • Office 365 Future Arts Centres’ current internal system for storing files which may occasionally hold personal information e.g. event delegate lists
  • SurveyMonkey  provider of the Future Arts Centres’ online survey system, which is used to gather organisational data will also hold names, email addresses and other information about the user, if provided during a survey.
  • WordPress – is the platform for Future Arts Centres’ website; this does not capture or retain any data, as outlined in section 4 above.
  • Zoom – Future Arts Centres’ platform for online meetings which may hold personal information including names, email addresses and other information about the user if provided in a poll. Video, audio and transcript recordings of online meetings may also be stored on Zoom’s platform.
